Key Responsibilities:
Executive Support:
- Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements
- Act as a gatekeeper and liaison, managing communications and prioritizing incoming requests
- Prepare and edit correspondence, presentations, and reports
- Coordinate internal and external meetings, including investor and board-related materials
- Track action items and ensure timely follow-ups on key initiatives
Office Management:
- Oversee daily office operations to ensure a smooth and efficient work environment
- Manage vendor relationships (office supplies, IT support, facilities, etc.) and negotiate contracts where appropriate
- Coordinate office maintenance, space planning, and workplace organization
- Support onboarding and offboarding processes in partnership with HR
- Maintain office policies and procedures
Operations & Administrative Support:
- Assist with budgeting and expense tracking for office and executive-related costs
- Process invoices, expense reports, and reimbursements
- Support firm-wide events, offsites, and team meetings
- Maintain organized filing systems (digital and physical), including sensitive documents
- Assist with ad hoc projects across investment, operations, and compliance teams
