We are looking for a detail-oriented People & Operations Coordinator to own the day-to-day mechanics of our employee lifecycle and support business operations. You will manage recruiting workflows, run onboarding and offboarding, administer our Rippling HRIS/ATS, and assist with client invoicing. This role is ideal for someone who thrives in a structured yet fast-moving environment and takes ownership.
Key Responsibilities
- Own Rippling ATS: maintain job postings, manage candidate pipelines, schedule interviews, and ensure timely disposition of all applicants
- Draft and post job descriptions across LinkedIn, Indeed, and other channels in compliance with applicable EEOC and state-specific requirements
- Coordinate with hiring managers to track requisition status and hiring milestones
- Maintain recruiting records in accordance with federal and state retention obligations
- Execute end-to-end onboarding in Rippling: provision accounts, assign equipment, enroll in benefits, and collect required new-hire documentation (I-9, W-4, state withholding forms)
- Ensure I-9 verification is completed within the legally required timeframe; maintain compliant records in accordance with DHS/USCIS requirements
- Coordinate role-specific system access and tool provisioning with IT and project leads
- Conduct new-hire orientation and serve as the first point of contact for onboarding questions
- Manage offboarding workflows in Rippling: initiate separation, revoke system access, process final pay in coordination with payroll, and issue required notices (e.g., COBRA election notices within required timelines)
- Collect company assets, execute data security protocols, and archive employee records per retention policy
- Prepare and distribute separation documentation in compliance with applicable state law
- Serve as primary Rippling administrator: maintain employee records, org structure, compensation data, and permissions
- Run standard HR reporting (headcount, turnover, time-off accruals) and flag anomalies to leadership
- Support annual compliance tasks including ACA 1095 reporting, EEO-1 filing coordination, and state-specific posting requirements
- Prepare and issue client invoices on schedule; track outstanding receivables and follow up on overdue accounts
- Reconcile invoice records against project milestones and contract terms
- Coordinate with project leads to ensure billing accuracy and proper documentation for client audits
- Assist with vendor invoice processing as needed
Required Qualifications
- 2+ years of experience in HR administration, people operations, or a related role
- Hands-on experience with an HRIS or ATS platform (Rippling strongly preferred)
- Working knowledge of federal employment law fundamentals: I-9/E-Verify, FLSA, ADA, FMLA, COBRA, EEO
- Strong attention to detail and ability to manage multiple concurrent workflows without dropping the ball
- Comfort operating independently in a remote, async-first environment
- Professional written communication skills
Preferred:
- Experience supporting invoicing or accounts receivable in a professional services or consulting context
- Familiarity with state-specific employment law in CA, FL, NY, or TN
- Prior experience at a small or growth-stage company where you wore multiple hats
- PHR, SHRM-CP, or equivalent certification (a plus, not a requirement)
Work Location
This is a full-time, remote position. California-based candidates are preferred. Candidates must be authorized to work in the United States.

Compensation
As required by California law, the hourly salary range for this position is $30 to $40. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity. Although we estimate the successful candidate hired into this role will be placed between the entry point and the middle of the range, the decision will be made on a case-by-case basis related to these factors.
