Company Description
Groundswell is an early-stage startup with a lean, passionate team focused on building meaningful products with real-world impact. We believe great work happens when talented people are trusted, empowered, and given real ownership—and when they enjoy the ride together.
Our culture is values-driven, fast-moving, and highly autonomous. We tackle hard problems, learn quickly, and operate without unnecessary process, politics, or red tape. This is not a place for people who need constant direction or guaranteed outcomes—it’s a place for builders who want more than the status quo.
We value growth through learning, impact, and ownership, not just titles or org charts. We offer competitive compensation and meaningful equity, and we’re looking for people who want to help shape the product, the company, and the future of the space.
Groundswell is at a pivotal moment of growth, with strong momentum and a clear vision. If you want to look back and say “I helped build that,” not just “I worked there,” you’ll feel at home here.
Role Description
We're a growing technology startup with a collaborative, hard-working, and fun team that's passionate about building great products and delivering exceptional service to our customers. As a small company, everyone wears multiple hats, ideas are welcomed from every level, and no two days are the same.
We're looking for a smart, organized, resourceful, and highly motivated Executive Assistant who is excited to learn how a business operates from the inside out. This is an ideal opportunity for someone early in their career who enjoys variety, thrives in a fast-paced environment, and wants exposure to every aspect of running a growing company.
Reporting directly to the CAO/COO, this role provides administrative and operational support across the business, working closely with the CEO, CAO/COO, CTO, and other team members. You'll help keep the company running smoothly by supporting executive priorities, improving internal processes and documentation, assisting with customer and sales operations, coordinating office activities, and taking ownership of projects large and small.
If you're someone who enjoys figuring things out, isn't afraid to tackle something new, and takes pride in delivering polished, high-quality work, you'll fit right in.
Responsibilities will vary from day to day and may include:
- Provide executive administrative support, including calendar management, meeting coordination, travel arrangements, expense reporting, and general executive assistance.
- Support Human Resources and People Operations through onboarding coordination, document preparation, policy administration, and other administrative tasks.
- Assist with accounting and finance administration, including expense management, invoice coordination, and maintaining organized financial records.
- Provide sales and customer operations support by preparing customer order forms, processing contracts, maintaining customer records, and assisting with customer requests.
- Help improve internal operations by updating company policies, organizing shared document repositories, maintaining filing systems, and identifying opportunities to streamline processes.
- Coordinate and track cross-functional projects, follow up on action items, and help ensure deadlines are met.
- Provide general office support, including ordering office supplies and groceries, coordinating team lunches and happy hours, distributing promotional and marketing materials, and helping create an enjoyable office environment.
- Take ownership of special projects and other assignments as requested by company leadership.
Qualifications
- Bachelor's degree or equivalent education and experience preferred.
- Internship, campus leadership, or part-time work experience demonstrating strong organizational skills, professionalism, and accountability.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office and Google Workspace; experience with modern business software (CRM, project management, HR, accounting, or productivity tools) is a plus.
Who will Thrive Working Here
The ideal candidate is someone who is eager to learn, enjoys solving problems, and is excited by the opportunity to contribute wherever needed.
You are:
- A quick learner who enjoys learning new systems, tools, and business processes.
- Highly organized with exceptional attention to detail and a commitment to producing accurate, error-free work.
- Tech savvy and comfortable learning new software applications quickly.
- Resourceful, proactive, and able to work independently with minimal direction.
- Self-motivated, dependable, and comfortable managing multiple priorities while meeting deadlines.
- Professional, trustworthy, and able to handle highly confidential and sensitive information with discretion.
- Flexible and excited to jump into new assignments, regardless of the subject matter.
- Someone who takes ownership of your work—you can be trusted with an assignment and consistently deliver high-quality results without needing constant follow-up.
Why You'll Love Working Here
This is a unique opportunity to gain exposure to nearly every function of a growing business—from executive support and operations to finance, HR, sales, customer success, and process improvement. If you're curious, ambitious, and looking for a role where you'll learn something new every day while making a meaningful impact, we'd love to meet you.
