Executive Assistant
Location: New York, NY (4 days onsite, 1 day remote)

My client, a highly regarded investment and infrastructure-focused organization, is seeking an experienced Executive Assistant to support a senior leadership group within their New York office. This is a full-time, high-exposure role supporting up to 4–5 executives simultaneously, including the CFO, Head of Strategy, and a senior Talent Acquisition leader who partners closely with private equity teams during active acquisitions.
This position requires someone comfortable operating in a fast-paced, deal-driven environment where discretion, precision, and proactive communication are critical. The ideal candidate has experience supporting senior executives within finance, private equity, investment, or similarly complex corporate environments and thrives managing shifting priorities.
Key Responsibilities:
- Manage complex and ever-changing calendars across multiple time zones
- Coordinate domestic and international travel arrangements, including detailed itineraries
- Prepare, submit, and reconcile expense reports in a timely and accurate manner
- Coordinate high-level internal and external meetings, including board and investor-related sessions
- Assist with materials preparation, meeting agendas, and presentation support
- Serve as a gatekeeper and liaison between executives and internal/external stakeholders
- Track action items and follow up on deliverables to ensure deadlines are met
- Support acquisition-related scheduling and coordination with private equity partners and external advisors
- Maintain strict confidentiality while handling sensitive financial and strategic information
- Partner closely with other administrative professionals to ensure seamless team support
Qualifications:
- 5+ years of experience supporting senior executives, ideally within finance, private equity, infrastructure, or investment environments
- Proven ability to support multiple high-level executives at once
- Exceptional calendar management and organizational skills
- Strong attention to detail and follow-through
- Professional communication skills, both written and verbal
- High level of discretion and sound judgment
- Proficiency in Microsoft Office Suite and expense management systems
- Ability to operate independently while remaining highly collaborative
- Comfortable in a fast-paced, transaction-heavy environment
This is a full-time opportunity based in NYC with a hybrid schedule of four days in the office and one day remote. Compensation is competitive, with a base salary ranging from $105,000–$115,000 depending on experience, along with a comprehensive benefits package.
