Position Overview
Our client is seeking a professional, organized, and personable Administrative Assistant to support daily office operations and serve as a key point of contact for employees, visitors, customers, and leadership. This role requires someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in creating a positive and efficient workplace experience.
The ideal candidate is proactive, detail-oriented, and comfortable supporting multiple departments while working closely with executive leadership.
Key Responsibilities Office Administration Answer and direct incoming phone calls. Greet visitors and maintain a welcoming office environment. Schedule appointments and maintain calendars. Schedule and coordinate meetings and conference room arrangements. Coordinate inbound and outbound office calls, mail, and shipments. Collate and distribute incoming mail. Communication & Documentation Prepare and distribute communications, including emails, memos, invoices, reports, and correspondence. Write and edit business communications, letters, reports, and documents. Create and maintain organized filing systems, both electronic and physical. Office Operations Coordinate and organize day-to-day office activities. Monitor and maintain office supply inventory. Keep common areas stocked and organized, including office pantry supplies. Assist with office logistics and general administrative support. Executive & Team Support Provide administrative support to executive leadership, including the CEO. Assist with special projects and initiatives as assigned. Coordinate lunch orders and other executive support activities. Support HR with scheduling interviews, meetings, and transportation arrangements. Help facilitate communication between customers, technical support teams, and internal departments. Qualifications Bachelor's degree in Business, Marketing, Communications, or a related field. 2+ years of experience in a client-facing role, preferably within a software or technology company. Strong communication and interpersonal skills. Ability to manage multiple priorities in a deadline-driven environment. Comfortable collaborating across multiple departments. Self-starter with excellent organizational skills and attention to detail. Strong multitasking and problem-solving abilities. Friendly, professional, and upbeat demeanor.
