Overall purpose of role
Join our client as Personal Assistant to the Global Head of Citizenship, where you will focus your attention on providing comprehensive executive partnership to the Global Head of Citizenship, ensuring the smooth day‑to‑day operation of a complex global remit. Acting as a trusted gateway, the PA manages senior‑level priorities, maximizes time efficiency through disciplined diary and travel oversight, and enables informed decision‑making. The position serves as a central coordination and communication hub across internal leadership, external partners, and key Citizenship stakeholders. You will ensure the consistent, high‑quality delivery of meetings, events, and forums that support the firm’s Citizenship agenda. The role also upholds strong governance, controls, and risk awareness, reflecting the operational rigor expected in fast‑paced, highly visible bulge‑bracket environments.
Key Accountabilities
- Manage the Global Head of Citizenship’s calendar and meeting request workflow: triage requests, resolve conflicts, and ensure timely responses aligned to priorities.
- Plan and arrange travel itineraries including flights, accommodation, and ground transportation, ensuring timely, efficient and policy-compliant travel.
- Coordinate meeting logistics such conference rooms, A/V, and visitor access
- Ensure agendas and materials are prepared and shared in advance of meetings
- Provide administrative and logistical support for broader Public Policy & Corporate Responsibility leadership team when in New York and function-wide events, including communications and attendee coordination.
- Manage day-to-day administration including corporate card/expenses, filing systems, and other management tasks with strong accuracy and confidentiality.
- Track actions and follow-ups to completion, anticipating upcoming deadlines and flagging risks or dependencies early.
- Troubleshoot issues and coordinate with internal partners including technology, building services, and A/V to resolve problems quickly and maintain service quality.

- Apply in-depth administrative/coordination expertise to support executives and the wider team, acting as an advisor where appropriate.

- Make evaluative judgements based on analysis of factual information, with strong attention to detail.
