Our client in the Wellness and Fitness space is hiring an Executive Assistant!
The Role
We’re looking for a sharp, highly organized Executive Assistant to support senior leadership directly and keep the executive office running at full speed. This is a 4-days-in-office role built for someone who thrives in fast-moving, high-growth environments and takes pride in being the person leadership relies on to own the details.
You’ll be more than a scheduler—you’ll be a true force multiplier. Anticipating needs before they arise, managing competing priorities with calm precision, and making sure leadership has what they need to operate at the highest level. What You’ll Own
Calendar & Schedule Management
- Own the executive calendar end-to-end—scheduling, prioritizing, and protecting time with precision.
- Coordinate internal and external meetings, calls, and appointments across time zones.
- Anticipate conflicts and resolve proactively, always keeping leadership one step ahead.
- Manage prep materials, agendas, and pre-reads for all key meetings.
Communications & Correspondence
- Serve as the first point of contact for the executive inbox—triaging, drafting, and responding to emails on behalf of leadership.
- Handle sensitive and confidential communications with discretion and professionalism.
- Draft internal memos, follow-ups, and external correspondence that reflect leadership’s voice and priorities.
- Maintain clear and organized communication across Slack, email, and other platforms.
Travel & Logistics
- Plan and book all domestic and international travel—flights, hotels, ground transportation, and itineraries.
- Build detailed travel briefs and ensure all logistics are seamlessly coordinated.
- Anticipate and resolve travel disruptions quickly and independently.
Project & Task Coordination
- Track open action items, follow-ups, and deadlines across teams on behalf of leadership.
- Coordinate cross-functional projects and ensure the right people have the right information at the right time.
- Build and maintain systems to keep priorities organized and visible.
- Support special projects and strategic initiatives as they arise.
Office & Operational Support
- Manage expenses, reimbursements, and vendor relationships as needed.
- Support event planning, off-sites, and team coordination tied to the executive calendar.
- Handle ad hoc operational needs and problem-solve independently with minimal direction.
Why You’re a Fit
- 3+ years of experience as an Executive Assistant, Chief of Staff, or similar high-trust support role.
- You’ve supported a C-suite executive in a fast-paced startup, consumer brand, or high-growth environment.
- Exceptional organizational skills—you run a tight ship and nothing falls through the cracks.
- Extremely strong written and verbal communication skills; you know how to represent leadership professionally.
- Highly discreet and trustworthy—you handle sensitive information with care and confidentiality.
- You’re proactive by nature: you see what’s coming, solve it before it becomes a problem, and communicate ahead of the curve.
- Calm under pressure, adaptable, and energized by a dynamic, high-output environment.
- Proficient across Google Workspace, Slack, and modern productivity tools.
- 4 days per week in-office—you’re present, engaged, and part of the culture.
- Bonus: experience in consumer brands, CPG, or high-growth DTC companies.
