Executive Assistant - Midtown Real Estate / Investment Firm - $70-$85K + fully paid benefits
A close-knit, hands-on office environment is seeking a dedicated and poised Executive Assistant to support a senior leader. This is a boutique-style setting where the pace is steady, the culture is traditional, and no two days are the same.
The executive oversees a diverse portfolio of business interests and is looking for a highly reliable administrative partner to help manage both professional and personal priorities with discretion and precision.
Responsibilities:
- Manage complex, ever-changing calendars across professional and personal commitments, ensuring alignment and efficiency
- Coordinate domestic and international travel, including detailed itineraries, logistics, and real-time adjustments as needed
- Serve as a primary point of contact, handling communications with internal stakeholders, external partners, and vendors with professionalism and discretion
- Screen and prioritize emails, calls, and requests, responding or escalating as appropriate
- Prepare and organize meeting materials, presentations, and reports to support executive decision-making
- Maintain organized systems for files, contacts, and documentation to ensure easy access and continuity
- Track tasks, follow-ups, and key deadlines, ensuring nothing falls through the cracks
- Assist with personal administrative needs, including scheduling, reservations, and coordination of appointments
- Liaise with vendors and service providers, managing relationships and ensuring timely execution of deliverables
- Support light project coordination across various business initiatives, keeping timelines and stakeholders aligned
- Handle expense tracking, reporting, and general administrative processes with accuracy and timeliness
- Leverage Microsoft Office and other tools to streamline workflows and improve overall efficiency
- Maintain strict confidentiality across all business and personal matters
Qualifications:
- 10+ years of experience providing high-level executive support in a fast-paced, professional environment
- Proven ability to manage complex calendars, travel logistics, and shifting priorities with minimal oversight
- Strong communication skills, both written and verbal, with the ability to interact across all levels of an organization
- High level of discretion and judgment when handling confidential information
- Detail-oriented with exceptional organizational and follow-through skills
- Proactive mindset with the ability to anticipate needs and problem-solve independently
- Comfortable supporting both professional and personal administrative responsibilities
- Experience working in a traditional, in-person office environment preferred
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint); exposure to additional tools or systems is a plus
- Ability to prioritize effectively and remain composed under pressure
- Strong work ethic with a reliable, consistent approach to day-to-day responsibilities
Base Salary: $70-$85k plus fully paid company benefits
