About The Role
We are seeking an exceptional
Executive Assistant to support the
CEO and Chief Creative Officer, husband-and-wife founders of a fast-growing fashion and retail brand. This role will also support the calendar management for the
President. This role is ideal for someone who thrives at the intersection of business, creativity, and lifestyle management, and who enjoys being the “catch all” and can be trusted working closely with visionary founders in a dynamic, entrepreneurial environment.
As a trusted support to the founders, the Executive Assistant will play a critical role in ensuring their time, communication, and priorities are managed with precision and discretion. This role blends traditional executive support, company-wide coordination, and personal assistant responsibilities, helping the founders seamlessly manage both professional and personal commitments.
The ideal candidate is highly organized, proactive, polished, and an excellent communicator who can confidently interact with leadership, teams across the company, and external partners.
Key Responsibilities
Executive Support
- Manage complex and evolving calendars for the CEO, Chief Creative Officer and President ensuring priorities and time are aligned with business needs
- Coordinate domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
- Serve as a key point of contact between the founders and internal leadership, external partners, and brand collaborators
- Prepare meeting materials, presentations, and agendas; capture notes and track follow-ups
- Draft correspondence and manage communications on behalf of the executives
- Strong comfort level of working with three unique working styles and being amenable to individual preferences
- Responsible for ordering executive lunch
- Responsible for ensuring there is a delegate for this roles responsibilities when on PTO or OOO
Company Communication & Calendar Ownership
- Own and manage the company-wide calendar, ensuring visibility and alignment across key meetings, milestones, launches, and events
- Ensure clarity and coordination across departments including design, merchandising, marketing, operations, and leadership
- Own and manage personal orders (both ordering and receiving/unpacking/steaming)
Business & Brand Support
- Coordinate key meetings across design, merchandising, marketing, and leadership teams
- Assist in preparation for board meetings, investor communications, and brand partnerships
- Support planning around seasonal milestones including market appointments, campaigns, and industry events
- Help manage logistics around all events, press opportunities, and brand activations
- Support special projects and strategic initiatives as they arise
- Support in sending and receiving of any personal and business shipments
- Support ordering gifts on behalf of the Executives for any reason
- Ensure organization and tidiness of office of executives
- Able and willing to run errands on an as needed basis
Personal & Family Assistant Support
- Maintain and coordinate the family calendar, ensuring alignment across professional and personal schedules
- Plan and coordinate family travel, including flights, accommodations, itineraries, and special arrangements
- Assist with household logistics, scheduling and confirming appointments, reservations, and event planning as needed
- Coordinate schedules and activities related to family commitments
- Act as a trusted and discreet partner in managing the day-to-day flow of both business and personal priorities
Operational Excellence
- Maintain organized systems for documents, files, and key company information
- Process expenses and coordinate with vendors as needed
- Identify opportunities to streamline processes and improve efficiency across the founders’ workflows
Qualifications
- 5+ years of experience supporting senior executives, founders, or C-suite leaders
- Experience within fashion, retail, or a creative brand environment strongly preferred
- Prior experience in a hybrid Executive Assistant / Personal Assistant role is a plus
- Exceptional communication skills, both written and verbal, with the ability to interact confidently across all levels of an organization
- Strong organizational and time-management skills with the ability to prioritize competing demands
- High level of discretion regarding confidentiality, judgment, and emotional intelligence
- Ability to anticipate needs and problem-solve proactively
- Proficiency in Google Workspace, Slack, and presentation tools
Salary $100,000-$120,000
