We are seeking a highly proactive, assertive Executive Assistant to support a senior creative leader who is standing up a new enterprise wide creative execution team, while temporarily maintaining responsibilities. This is a fast paced, high volume role that requires strong judgment, confidence, and real time, in office support. Manager is Head of Creation and needs someone who can help keep her on task, protecting her time, comfortable being blunt but professional, must work well with others and have a collaborative nature when necessary. This role is essential to the smooth operation of the Creative department, managing schedules, communications, and administrative tasks to enable the executive to focus on strategic and creative leadership. This is a fast-paced environment, and we’re looking for a candidate who is personable, demonstrates exceptional attention to detail, and can effectively multitask while maintaining a high level of professionalism. The ideal candidate will have a strong understanding of the day-to-day demands of supporting senior leadership and will consistently demonstrate the ability to executive key responsibilities with efficiency and discretion.
Responsibilities:
- Manage the day-to-day operations of the Head of Creative Execution’s office with professionalism and discretion.
- Maintain and coordinate a dynamic calendar, schedule meetings, and manage travel arrangements using the Concur system.
- Prepare, submit, and reconcile expense reports in a timely and accurate manner utilizing Concur system.
- Assist preparing for presentations and/or meetings
- Track and log outstanding requests, ensuring timely follow-up and resolution.
- Monitor, organize and prioritize incoming requests
- End to end calendar management and time protection for a senior executive
- Proactively manage daily and weekly operating rhythm; prevent over booking
- ?????Provide real time, in office support (time checks, interruptions, day of adjustments)
- Actively push back, enforce breaks, and protect executive priorities
- Rapidly adapt to last minute changes and shifting priorities
- Book and manage travel arrangements
Required Qualifications:
- Proven administrative experience supporting senior-level executives, preferably within the entertainment industry
- High proficiency with Mac systems and software, including Microsoft Outlook, Word, Excel, PowerPoint, iTunes, Zoom, and Teams. Experience with SAP, Workday, Concur and AirTable is preferred. Comfortable learning new applications as needed.
- Skilled at building and maintaining strong relationships with stakeholders.
- Strong verbal and written communication skills. Professional phone etiquette.
- Trusted to handle highly confidential and sensitive information with discretion.
- Strong ability to prioritize tasks, meet deadlines, and adapt quickly to changing priorities.
- Detail-oriented with a calm, professional demeanor under pressure.
- Proactive, resourceful, flexible and creative problem-solver with a strong sense of initiative and anticipation of needs.
- Capable of managing individual tasks while maintaining awareness of broader team goals.
- Exceptional organizational and follow-through skills; able to manage multiple projects simultaneously, while meeting tight deadlines
- Physically able to meet job demands, including standing for extended periods and moving carts or boxes when on-site.
- Highly motivated with a strong desire to learn and grow professionally.
- Willingness to work flexible hours, including overtime as needed.
- General understanding of post-production workflows is a plus.
- Familiarity with company portfolio of films, brands, and intellectual properties is a plus
- Seasoned EA who is confident, proactive, and comfortable being assertive
- Experience supporting senior or C suite executives in fast moving environments
- Strong judgment and ability to independently manage competing priorities
- Comfortable interrupting meetings and advocating for executive time
- Prior company experience is a nice to have, not required
