** Position will sit in Menlo Park
We’re seeking an experienced People Operations Coordinator to own and execute the core processes that support employees throughout their lifecycle—from onboarding through offboarding–in a fast-paced, build-as-you-go environment. This is a hands-on, individual contributor role for someone who is energized by ambiguity, can figure things out with minimal context, and knows when to ask the right questions. You won’t always have a clear playbook–and that’s okay because you’ll help write it.
The ideal candidate brings 3+ years of People Operations experience, a strong bias for action, and the ability to adapt quickly to changing context without losing attention to detail. You’ll serve as a key operational partner within the People team, balancing day-to-day execution with thoughtful process design and documentation, ensure HRIS data accuracy, and deliver a consistent, high-quality employee experience.
Key Responsibilities
Curiosity & Bias for Action:
- Approach ambiguous problems with a learning mindset, ask thoughtful questions, and take action to experiment and move quickly even without all the answers.
- Ask thoughtful questions, take initiative, and course-correct as you go.
- Identify gaps, build workflows from scratch, and document as you go so we can scale what works.
Employee Support:
- Triage and support employees and internal stakeholders with questions to the People Operations Slack channels and email mailboxes.
- Direct requests to a self-service solution if possible and document knowledge base gaps for future self-service enhancements.
- Advocate for Employee Experience. Apply a people-first lens to processes, policies, and systems, ensuring empathy, equity, and employee impact are considered in day-to-day work
Data Management:
- Own the day-to-day transactional onboarding and offboarding activities, ensuring employees have a smooth, compliant, and consistent experience.
- Coordinate cross-functionally with IT, Finance, Payroll, and managers to ensure transitions are handled seamlessly.
- Maintain accurate and up-to-date employee records, HR systems, and documentation.
- Partner with the global payroll team to ensure all employee updates are reflected accurately for payroll processing.
Compliance & Reporting:
- Process employment contracts, amendments, and related documentation in compliance with internal controls, local Labor Standards and data privacy regulations
- Maintain accurate employee files and records for audit readiness.
- Stay informed of regulatory changes and incorporate them into SOPs and workflows
- Support internal and external audits related to HR operations
Process Excellence & Knowledge Management:
- Independently draft, update, and maintain SOPs (Standard Operating Procedures) for People Operations processes.
- Review and update process checklists and SOPs as workflows evolve to ensure continuous improvement.
- Use data and feedback to measure the effectiveness of onboarding, offboarding, and People Ops workflows
- Identify inefficiencies, design scalable workflows, and leverage tools/AI to improve HR operational workflows.
- Partner with the broader People team to keep policies and knowledge bases resources up to date
Support Immigration Documentation Needs:
- Partner with the internal Immigration Program to support employee immigration documentation needs.
- Own the I-9 re-verification process for foreign nationals by gathering document renewals and processing in Workday
Contingent Workforce Experience & Program Support:
- Support the contingent workforce program by coordinating onboarding and offboarding experiences, maintaining accurate records, vendor relationship and partnering with stakeholders to ensure a smooth, compliant, and consistent experience for contingent workers.
Compliance Training Experience & Administration:
- Support compliance training administration managing enrollments, monitoring completion, responding to employee questions, and assisting with reporting to ensure training requirements are met with minimal friction for employees.
Project Execution:
- Provide support for People Ops projects as needed based on business needs
- Support the creation and execution of structured project plans, manage assigned tasks and dependencies, and deliver people enablement initiatives on time and within scope.
- Partner with stakeholders to implement new processes, manage change effectively, and bring employees along the journey.
Support with Impact:
- Contribute to cross-functional initiatives that improve employee experiences, leveraging data and insights and best practices to support scalable, people-first solutions
- Own assigned workstreams and deliverables, follow through on commitments, and proactively address challenges or escalate risks as needed.
- Track defined metrics and share insights to support continuous improvement and inform future work.
Basic Qualifications
- 3+ years of experience in HR operations or generalist roles
- Strong understanding of employee lifecycle processes, HR compliance, and operational best practices
- Proficiency in Google Suite, Slack, and Workday.
- Excellent communication, written, verbal, stakeholder management, and interpersonal skills.
- Strong problem-solving and attention to detail.
- Ability to collaborate effectively across functions and manage multiple priorities in a fast-paced environment.
- Ability to handle confidential data with discretion and care.
