What You’ll Do
Executive Support
- Provide high-level administrative support to the CEO and global leadership team
- Manage complex calendars across multiple time zones, prioritize scheduling needs, and resolve conflicts proactively
- Coordinate virtual and in-person meetings, including team meetings, all-hands, off-sites, and 1:1s
- Prepare meeting logistics, materials, agendas, and catering as needed
- Arrange domestic and international travel in accordance with company T&E policies
- Process expense reports accurately and efficiently
- Support executives with ad-hoc projects, strategic initiatives, and cross-functional coordination
Office Management
- Serve as the primary Office Manager, ensuring a smooth and well-functioning workplace environment
- Oversee office supplies, vendor relationships, and light office maintenance
- Partner with Corp IT, Building Services, and internal teams to support operational needs
- Maintain organized filing systems and documentation for efficient information access
- Act as a central coordination point for company-wide initiatives, communications, and deadlines
What We’re Looking For
- Proven experience supporting C-suite executives in a fast-paced environment
- Previous experience in both Executive Assistant and Office Manager roles
- Strong proficiency with Outlook, Concur, and Microsoft Office Suite, Word, Excel, PowerPoint
- Experience working in a professional business office setting; Tech or Financial Services industry experience preferred
- Bachelor’s degree or equivalent practical experience
- Exceptional organizational skills and attention to detail
- Ability to manage ambiguity, shifting priorities, and high-volume workflows
- Strong business acumen with the ability to anticipate needs several steps ahead
- High level of discretion and sound judgment handling confidential information
- Tech-savvy with the ability to quickly learn new systems and tools
- Excellent communication and relationship-building skills across all levels of an organization
