The Administrative Assistant provides administrative, operational, and organizational support to DPS executive management. This role requires exceptional professionalism, discretion, and the ability to manage complex priorities in a fast-paced, executive environment. The successful candidate will serve as a trusted partner, enabling effective leadership, streamlined operations, and strong support across the organization.
Key Responsibilities
Executive & Administrative Support
- Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements
- Serve as the primary point of contact for internal and external stakeholders on behalf of executive leadership
- Prepare, proofread, and format executive-level correspondence, presentations, reports, and briefing materials
- Manage expense reports, invoices, and administrative documentation in accordance with company policies
Operational & Organizational Support
- Coordinate cross-functional meetings, leadership reviews, and client-related engagements
- Track action items, deadlines, and follow-ups to ensure timely execution of priorities
- Assist in the planning and coordination of department initiatives, projects, and events
- Maintain organized electronic and physical filing systems, ensuring confidentiality and data integrity
Client Engagement Support
- Support client-facing activities by coordinating meetings, materials, and communications
- Assist with preparation of client presentations, proposals, and engagement documentation
- Act with professionalism and discretion when handling sensitive client and business information
Communication & Collaboration
- Draft and distribute internal communications on behalf of the SVP as needed
- Partner closely with other executive assistants, leadership team members, and key stakeholders
- Anticipate executive needs and proactively resolve administrative or operational challenges
What You Need To Succeed (Minimum Qualifications)
- High school diploma or equivalent; associate or bachelor’s degree preferred
- Minimum of 3–5 years of experience providing administrative support to senior leaders or executives
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
- Exceptional organizational, time-management, and multitasking skills
- Strong written and verbal communication skills
- Proven ability to handle confidential and sensitive information with discretion
- Consistently prioritizes safety and security of self, others, and personal data.
- Embraces diverse people, thinking, and styles.
- Possesses a high school diploma, GED, or high school equivalency.
- Is at least 18 years of age and has authorization to work in the United States.
