ROLE OVERVIEW
As Executive Assistant to the SVP Brand, you'll manage calendar, communications, travel, and stakeholder relationships across a global organization. You'll be a trusted partner who balances competing priorities with professionalism and responsiveness, working closely with the creative studio, executive operations team, brand and partnerships teams, and external partners. You'll anticipate needs, resolve scheduling conflicts proactively, and ensure seamless day-to-day operations. You will bring a strong understanding of business priorities, embrace challenges of all sizes, and approach the role with humility and eagerness to learn.
RESPONSIBILITIES:
ADMINISTRATIVE
- Manage the SVP Brand's calendar with accuracy and foresight, including scheduling requests, conflict resolution, and proactive communication of changes
- Prioritise daily tasks and commitments; monitor emails, documents, or materials requiring input or approval
- Organise internal and external meetings, including attendee notifications, room reservations, logistics, and agenda preparation and dissemination as required in collaboration with the executive operations team
- Arrange all travel arrangements for SVP Brand including flights, airport services, ground transportation, and hotels
BRAND PROJECT SUPPORT
- Provide project management support to the SVP Brand and associated teams across priority projects
- Be a proxy for SVP Brand on their priority projects, ensuring you can provide timely and accurate information to relevant teams and partners
- Own onboarding process for new hires and vendors reporting to SVP Brand in partnership with Operations team and other relevant stakeholders
- Manage travel arrangements for team members, contractors, and guests as needed
NYC OFFICE
- Oversee office operations including facilities management and vendor coordination
- Serve as primary point of contact for sublease tenants and guests
KEY METRICS & KPIS
- 3+ years as an Executive Assistant, Project Manager, or similar role in a fast-paced, entrepreneurial environment
- Impeccable discretion and judgment when handling confidential information, sensitive situations, and high-profile relationships
- High emotional intelligence and strong situational awareness with ability to remain calm under pressure, anticipate needs, and follow through consistently
- Detail-oriented with strong organizational skills and understanding of brand standards and professional presentation
- Expert-level calendar management across complex time zones, with ability to balance long-term planning and last-minute changes
- Excellent written and verbal communication skills; ability to draft clear, professional correspondence on behalf of executives
- Strong travel coordination experience including international bookings, visas, accommodations, and ground logistics
- Proficiency with Google Workspace and productivity tools (Notion, Asana, Slack, Airtable, CRM systems)
- Agency or creative industry experience preferred
