The Role
We’re looking for a detail-oriented Logistics Manager who thrives in a dynamic, international environment. You'll be a key player in managing our stock, warehousing, B2B new top tier clients administration and more.
Key Responsibilities
Planning and Organization of Shipments
- Planning national and international shipments (import/export).
- Coordinating with carriers, freight forwarders, and warehouses regarding pickup and delivery times.
- Checking transport rates, transit times, and transport documentation.
- Monitoring deadlines and following up on shipments.
Communication and Coordination
- Acting as the point of contact for suppliers, carriers, customs, and internal departments (Purchasing, Sales, Warehouse).
- Resolving logistical issues, delays, or discrepancies.
- Answering inquiries regarding deliveries and transport status.
- Informing customers or partners about shipping dates, tracking, and delivery appointments.
Administration and Documentation
- Preparing and checking shipping and customs documents (invoices, packing lists, airway bills, CMR, HS codes, certificates).
- Creating and managing shipments in the logistics system (e.g., ERP or transport portal).
- Verifying invoices from carriers and freight forwarders.
- Maintaining an overview of all ongoing shipments.
Inventory and Order Management (Indirect)
- Coordinating inventory levels with the warehouse.
- Ensuring products are available for shipment on time.
- Identifying shortages or surpluses.
Process Improvement and Reporting
- Contributing ideas for more efficient transport or packaging processes.
- Reporting on KPIs such as delivery times, transport costs, and error rates.
- Maintaining strong relationships with transport partners.
Maintenance and Setup of Logistics Platforms and New Warehouses
- Managing and maintaining logistics and transport platforms (such as carrier portals, shipping software, and customs platforms, new warehouses).
- Setting up and configuring new logistical tools and platforms during growth or expansion into new markets.
- Linking and aligning logistics systems with internal systems (e.g., ERP, webshop, or inventory management).
- Identifying opportunities for improvement in software and processes and translating them into practical solutions.
- Acting as the primary contact for external parties regarding technical or process-related questions about logistics systems.
B2B / Finance support
- Prepare and manage invoices and credit notes
- Support B2B clients with order processing, logistics, and payment follow-up
- Support B2B team with contracts
- Support B2B team with new client set ups / negotiations
- Continuously seek ways to improve processes and workflows
A logistics employee in this role
- Has strong communication skills (written and verbal).
- Works in a structured and independent manner.
- Is accurate in documentation and administration.
- Knows the basics of international logistics (Incoterms, HS codes, customs documents).
- Has experience with ERP or transport systems.
- Proactively contributes ideas for improvements in the logistical process.
