Part time role: Tuesday, Wednesday, Thursday from 9am to 5pm (24 hours per week)
Position Summary
The HR Administration & Immigration Coordinator will provide administrative and operational support to the HR Administration team, with a primary focus on immigration case management, employee mobility programs, and I-9 compliance. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
HR Administrative Support
• Provide general administrative and day-to-day support to the HR Administration Department.
• Assist with preparing correspondence, reports, and other documentation.
• Maintain filing systems and organizational records to ensure accuracy and compliance.
• Support various HR projects and initiatives as needed.
Immigration Support
• Create, organize, and accurately maintain compliance files and documentation for work visas, permanent residence cases, and other immigration matters.
• Coordinate the Labor Condition Application (LCA) process, including posting and removing required notices.
• Maintain and update immigration case tracking reports and enter case updates into Workday.
• Assist with monitoring case deadlines and employee work authorization expiration dates.
Employee Programs Administration
Relocation Program
• Initiate relocation requests with external vendors.
• Create, maintain, and update relocation reports and tracking documents.
• Respond to employee inquiries regarding relocation benefits and processes.
Tuition Reimbursement Program
• Review tuition reimbursement applications and supporting documentation for completeness and eligibility.
• Track expenses and maintain accurate program records and reports.
• Support employees with questions related to the tuition reimbursement process.
Form I-9 Compliance
• Review and audit Form I-9 documentation for accuracy and compliance.
• Complete final employment authorization verification tasks.
• Update new hire records with work authorization, student visa, and permit information for payroll visibility.
• Monitor student visa expiration dates and termination dates to ensure ongoing compliance.
Qualifications
• Bachelor’s degree in Human Resources, Business Administration, or a related field, and/or equivalent work experience.
• Minimum of one year of related experience preferred.
• Working knowledge of human resources or administrative principles, practices, and procedures.
• Proficiency in Microsoft Excel and Word.
• Strong attention to detail and accuracy.
• Ability to work effectively in a fast-paced environment and manage multiple priorities.
