We are seeking a highly polished, experienced Executive Assistant to support a dynamic Founder & CEO operating in a fast-paced, high-touch, global business environment. This is a true right-hand role, designed for someone who thrives in a 24/7 mindset and excels at anticipating needs, managing complexity, and ensuring seamless execution across both business and operational priorities. The ideal candidate will have experience in corporate finance, luxury hospitality, or high-end service environments, and bring a strong sense of professionalism, discretion, and communication excellence.
- Location: Midtown Manhattan, NYC (5 days in office)
- Compensation: $111-$135k + bonus (approx. 1 month) + significant travel perks
- Start: Immediate preferred | Fast-moving process
Responsibilities:
- Manage a complex, ever-changing executive calendar across multiple time zones
- Oversee high-volume inbox management with exceptional written communication skills
- Coordinate domestic and international travel logistics, including high-end and bespoke arrangements
- Act as the primary liaison with internal teams, vendors, and external partners
- Support financial coordination including invoice tracking, expense management, and basic reconciliation
- Review and support negotiation of vendor agreements, contracts, and service arrangements
- Maintain strong alignment across a small global team spanning multiple regions
- Oversee scheduling, meeting preparation, and follow-ups to ensure flawless execution
- Support brand and operational initiatives as needed, including presentations and light marketing coordination
- Anticipate needs and proactively resolve issues before they reach the executive
Required Qualifications:
We are looking for someone who is:
- 3–7 years of experience in a high-touch executive support role
- Background in corporate finance, investment environments, luxury hospitality, or premium concierge services strongly preferred
- Exceptionally polished with strong written and verbal communication skills
- Highly organized, detail-oriented, and proactive
- Comfortable operating in a fast-moving, always-on environment
- Technically proficient (Google Workspace, CRM tools, Excel/financial tracking systems, etc.)
- Confident managing competing priorities without needing repeated direction
- A true problem-solver who operates with urgency and discretion
