We are seeking a highly organized, proactive, and discreet Executive Assistant & Office Manager to support our CEO and global leadership team in a fast-paced, dynamic environment.

What You’ll Do

Executive Support

Provide high-level administrative support to the CEO and global leadership team
Manage complex calendars across multiple time zones, prioritize scheduling needs, and resolve conflicts proactively
Coordinate virtual and in-person meetings, including team meetings, all-hands, off-sites, and 1:1s
Prepare meeting logistics, materials, agendas, and catering as needed
Arrange domestic and international travel in accordance with company T&E policies
Process expense reports accurately and efficiently
Support executives with ad-hoc projects, strategic initiatives, and cross-functional coordination

Office Management

Serve as the primary Office Manager, ensuring a smooth and well-functioning workplace environment
Oversee office supplies, vendor relationships, and light office maintenance
Partner with Corp IT, Building Services, and internal teams to support operational needs
Maintain organized filing systems and documentation for efficient information access
Act as a central coordination point for company-wide initiatives, communications, and deadlines

What We’re Looking For

Proven experience supporting C-suite executives in a fast-paced environment
Previous experience in both Executive Assistant and Office Manager roles
Strong proficiency with Outlook, Concur, and Microsoft Office Suite, Word, Excel, PowerPoint
Experience working in a professional business office setting; Tech or Financial Services industry experience preferred
Bachelor’s degree or equivalent practical experience
Exceptional organizational skills and attention to detail
Ability to manage ambiguity, shifting priorities, and high-volume workflows
Strong business acumen with the ability to anticipate needs several steps ahead
High level of discretion and sound judgment handling confidential information
Tech-savvy with the ability to quickly learn new systems and tools
Excellent communication and relationship-building skills across all levels of an organization
