This international, interdisciplinary design practice operates across architecture, interiors, and landscape, with studios located around the world. The U.S. team works on a wide range of projects, including libraries, cultural and performance venues, academic buildings, museums, parks, master plans, and public plazas throughout the Americas. Joining the team as an Executive Assistant offers the opportunity to support senior leadership within a highly collaborative, design-driven environment while contributing to meaningful, impactful projects across diverse sectors.

Key Responsibilities:

Provide proactive, day to day executive support to two senior leaders, serving as a hands-on partner in coordinating priorities, managing workflows, and supporting broader studio operations.
Manage complex calendars, schedule and coordinate meetings across multiple time zones, and anticipate needs to ensure leaders remain organized and prepared.
Arrange and manage detailed travel logistics—air, hotel, rail, car, itineraries, and necessary documentation—while addressing changes as they arise.
Support professional development initiatives, including coordinating lectures, panel discussions, and media interviews.
Prepare weekly timesheets, monthly expense reports, and manage new or renewal licensing requirements for the executives.
Coordinate occasional personal appointments as needed.
Collaborate closely with studio leadership, administrative teams, and project managers to ensure smooth communication and alignment across the organization.

Skills and Experience:

Exceptional communication, organization, and time management skills, with the ability to juggle multiple priorities and deadlines while maintaining accuracy and composure.
Strong experience managing complex calendars and adapting to shifting schedules with clarity and consistency.
High level of discretion, professionalism, judgment, and trustworthiness when interacting with leadership and external partners.
Ability to represent the studio professionally in all written and verbal communications.
Strong attention to detail with reliable follow through.
Experience engaging with senior leadership, clients, or media teams is helpful but not required.
Proficiency in Microsoft Office 365, Adobe Creative Suite, Zoom, WebEx, Microsoft Teams, and ideally Deltek.
Minimum of 5 years of administrative or comparable support experience; bachelor’s degree preferred.

Benefits:

Full time, temporary position with an anticipated 6-month term and the intent to transition into a permanent, salaried role.

Compensation ranging from $37.00 to $45.43 per hour, depending on experience.
Primarily in-person role with some flexibility for remote work.
