Job Summary
The Executive Assistant supports Insidesource’s success by elevating the CEO’s effectiveness and day-to-day operations. This highly visible position serves as a trusted partner and right hand to a deeply engaged CEO and other executive stakeholders, ensuring seamless execution across administrative, operational, and communication priorities.
Dynamic, energetic, and supremely organized, the Executive Assistant has a natural ability to anticipate needs, manage competing priorities, and operate with discretion. This is an exciting opportunity to contribute to a forward-thinking, creative, and global organization.
Essential Duties and Responsibilities:
Executive Support
- Own and manage the CEO’s calendar, applying a strategic and holistic approach to optimize time, priorities, and impact.
- Manage the CEO’s email inbox, triaging and actioning inbound messages and drafting communications.
- Book travel and logistics for frequent domestic and international trips.
- Serve as a key liaison between the CEO and internal/external stakeholders, ensuring clear and timely communication.
- Prepare the CEO for meetings and events by developing agendas, gathering materials, and providing briefings.
- Attend meetings as needed to take notes, track action items, facilitate follow-through.
- Complete administrative tasks such as expense reports.
- Greet obstacles or unexpected changes with good nature and a back-up plan, adapting quickly in our dynamic environment.
- Serve as a friendly, knowledgeable, and firm ambassador for the CEO, protecting their time while still ensuring a positive and responsive experience for all.
- Provide occasional personal administrative support as needed.
- Provide admin support to enterprise leaders as required.
- Remain flexible on working location throughout the week, flexing between our Bay Area showrooms.
Enterprise Support
- Lead a revamp of Insidesource’s corporate travel program, and serve as the primary point of contact for employee questions going forward.
- Organize Insidesource’s annual leadership offsite, including logistics, bookings, invites, itinerary support, etc.
- Manage or support special projects and cross-functional initiatives as requested.
- Proactively build relationships across the enterprise.
Insidesource Core Responsibilities

Skills, Knowledge, Experience Required
- 5+ years of experience supporting a CEO, founder, or senior executive in a complex, fast-paced environment.
- Strong instincts around time management, prioritization, and calendaring.
- A natural affinity for thinking three steps ahead and planning for the unplanned.
- Sound judgment with the confidence to make decisions, set boundaries, and guide stakeholders effectively.
- Demonstrates good judgement, integrity, and discretion in handling sensitive information.
- Comfortable toggling between personal and professional admin support.
- Poised and polished, with a natural customer service mindset; fluid interpersonal skills and comfort interacting effectively with a wide range of people, both internal and external to Insidesource.
- Curiosity and a desire to learn: a broader understanding of the intricacies of Insidesource will support success in the Executive Assistant role.
- Proficiency in Microsoft Office Suite, especially Outlook; quick to learn new tools and systems.
- Must hold a valid driver's license and have a car.
The anticipated salary range for this role is $95k - 120k. Actual compensation will be determined based on factors such as experience, skills, qualifications, geographic location, and internal equity.
