Our work spans startup planning, construction coordination, CRM deployment, staffing infrastructure, workflow design, consultation systems, and pre-launch readiness timelines for clinics nationwide.

To support our continued growth, we are seeking a highly organized, proactive Executive Assistant to support daily business operations and help coordinate multiple client projects across the organization.

Role Overview

The Executive Assistant provides high-level administrative, coordination, and project support to the CEO, COO and internal consulting team to help ensure smooth execution across multiple client engagements and company initiatives.

This role supports scheduling, document preparation, hiring coordination, CRM onboarding preparation, compliance readiness tracking, and communication across vendors, partners, and clinic owners. The ideal candidate is detail-oriented, adaptable, and comfortable managing multiple moving pieces across several projects at once.

This is not a traditional calendar-only Executive Assistant role — it supports operational coordination across consulting projects nationwide.

Executive & Administrative Support

Manage and coordinate complex calendars, meetings, and scheduling across multiple time zones

Prepare meeting agendas, summaries, and follow-up action tracking

Assist with preparation and formatting of consulting documents, scopes of work, proposals, and training materials

Support business filings including LLC formations, DBA registrations, and administrative documentation across multiple states

Track internal and client project timelines and ensure follow-ups are completed

Assist with coordination of internal meetings and client strategy sessions

Provide general administrative support as needed to the CEO and consulting team

Client Project Coordination Support

Assist with coordination across multiple consulting projects simultaneously

Support communication between clinic owners, vendors, contractors, and consulting partners

Help track client launch timelines including:

website readiness

CRM onboarding preparation

marketing sequencing

staff hiring progress

training scheduling

Coordinate follow-up items after consulting meetings to ensure next steps stay on track

Assist with preparation of client-facing materials and onboarding documentation

Hiring & Recruiting Coordination

Assist with coordination of hiring workflows across client practices nationwide

Support:

Job Description Formatting

candidate scheduling

interview coordination

offer letter preparation

follow-up communication

Track hiring progress across multiple roles including clinic managers, injectors, aestheticians, patient coordinators, and marketing staff

CRM & Onboarding Workflow Support

Support onboarding coordination for DAC's Business Builder CRM platform

Assist with:

client intake tracking

kickoff scheduling

form collection coordination

workflow readiness preparation

calendar setup support

Ensure required onboarding items are collected prior to kickoff meetings

Track CRM readiness timelines alongside client launch schedules

Communication & Coordination

Maintain professional communication across:

clinic owners

providers

vendors

contractors

marketing teams

internal consulting staff

Assist with coordinating updates between stakeholders

Help ensure project details and timelines remain organized and documented

Workflow & Process Support

Assist with organizing internal workflows supporting consulting delivery

Support documentation tracking across multiple projects

Maintain structured project checklists and readiness trackers

Help improve internal organization of shared documents and implementation timelines

Qualifications & Skills

✔ Strong organizational and multitasking skills

✔ Experience Supporting Executives Or Consulting Teams Preferred

✔ Comfortable coordinating multiple projects simultaneously

✔ Excellent written communication and document formatting skills

✔ Familiarity with Google Workspace, Zoom, and CRM tools preferred

✔ Experience Supporting Hiring Coordination Workflows Preferred

✔ Detail-oriented with strong follow-through

✔ Ability to work independently in a fast-paced environment
