Primary Services is actively recruiting for a Human Resources Specialist to support a large and highly respected organization in the energy utility industry. This role is key to coordinating onboarding, recruitment, and compliance activities that support workforce growth across multiple business locations. The Human Resources Specialist will help ensure hiring and onboarding processes are executed accurately, efficiently, and in compliance with applicable regulations while delivering an exceptional candidate experience.
Responsibilities
- Coordinate onboarding activities across multiple locations to ensure a seamless and compliant new hire experience.
- Manage pre-employment processes including background checks, drug testing, motor vehicle record reviews, credential verification, and onboarding documentation.
- Prepare onboarding materials and coordinate orientation schedules before employee start dates.
- Track candidate, applicant, and new hire status within HRIS and applicant tracking systems.
- Support recruitment efforts through interview scheduling, candidate communications, job postings, and ATS maintenance.
- Prepare correspondence related to hiring, onboarding, and recruitment activities.
- Maintain accurate onboarding, recruitment, and employee records to support compliance and reporting requirements.
- Verify employment eligibility and maintain Form I-9 documentation in accordance with federal regulations.
- Support audits, compliance reviews, and documentation requests.
- Assist with onboarding and recruitment process improvements to enhance efficiency and consistency.
- Enter, update, and audit employee and talent acquisition data within HR systems.
- Coordinate onboarding sessions, meetings, interviews, and HR-related events.
- Prepare reports, presentations, and administrative documentation as requested.
- Serve as a point of contact for onboarding-related inquiries from candidates, hiring managers, and internal stakeholders.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- One to three years of experience in talent acquisition support, onboarding coordination, or human resources administration.
- Experience supporting hiring activities in a regulated, public sector, utility, or safety-sensitive environment preferred.
- Knowledge of onboarding processes, employment documentation, and HR recordkeeping requirements.
- Familiarity with AAP, EEO, and HR compliance concepts.
- Proficiency with HRIS platforms, applicant tracking systems, and Microsoft Office applications.
- Experience maintaining employee records and supporting compliance audits.
- Strong data entry accuracy and record management skills.
- Ability to manage high-volume onboarding activities and multiple deadlines simultaneously.
- Experience coordinating interviews, candidate communications, and recruitment workflows.
- Knowledge of Form I-9 requirements and employment eligibility verification procedures.
- Ability to maintain confidentiality while handling sensitive employee and candidate information.
